Start your week strong with this 6 step agenda

Our company holds a Monday morning meeting every week. (Ok, we miss sometimes because of life-stuff, but we aim for 45 week’s worth of Monday morning meetings). We call it Design the Week … and it helps us do that exact thing. Design our week.

But, we go into that meeting with an agenda. And we follow that agenda so that we know what is coming up and what we need to prepare for.  Today I’m going to share that agenda with you. We hold everything in Evernote, and we have used Asana in the past. Check them both out (linked) and see which one does what you need. Or maybe a good ole’ Word document will do the trick to start.

 

Design the Week Agenda

Current Priorities

We quickly debrief what happened last week and what priorities have come out of that. New client meetings, prospective client meetings, wins, losses … and name the priorities that came of that. Eg: “I had a new client start and I need to get the CC agreement signed.” This is just priorities, we review everything else later on.

Calendar Review

Our company lives and dies by the calendar. We use Apple’s icalendar so that we are synced to each other. We have different ‘color codes’ set up so that we can easily review the week ahead. Actually, we usually go 2 weeks out so that there are no surprises.

Financial Update

This isn’t an in-depth tax discussion, or a strategy session – it’s just an update. So, review what we spent last week, what is coming up – and where we are at with our current bank balances.

This is also where we review upcoming invoicing. We track all of our monthly revenue on a (fancy-schmancy) excel document, and so this is the time to see where our monthly revenue is at.

Online Update

We review blogs, podcasts, and web updates that need to be made. This is a growing list and so we keep a separate note for it (in Evernote).

Work In Progress

Again, not a long update – but just a quick ‘what is on my plate this week’. To be clear, the current priorities are just that – a priority. This is the rest of what is on your plate this week.

Gratitude

This is something that is so important and feels so good when you are done. BUT, it’s also one of the hardest to do ON the list. Each week we both give gratitude to 1 or 2 people that we want to personally thank. And we do that with a card, and a $5.00 Gravity/Tim’s /Starbucks/Second Cup/ card.

Do we do it every time? Honestly, no. BUT, we are getting better at it. 1% gains, right.

That is it. That’s the formula for our weekly Monday morning meeting, or Design the Week. The other thing to mention is location.

And, we often try to get away from our home office to have our Design the Week. We will go straight to a coffee shop, or our co-working space (Work Nicer) and have our meeting there. We do sometimes just head to the home office and get it done as quickly as we can – as we have other fires burning that day. But, we try to get out as much as possible.

My suggestion is to try to have every fourth meeting at a different location. So, once a month. It mixes it up, and keeps everyone on their toes.
